Repair Shop Management Guide

How to Create a Job Sheet for Your Mobile or Laptop Repair Shop (Free Format)

A practical guide to the fields every repair job sheet needs, why paper slips fall short, and how to create digital job sheets for your service center.

For mobile and laptop repair shopsJob sheet format and workflow

If you run a mobile or laptop service center, you already know the daily chaos: a customer calls asking about a phone left three days ago, a technician cannot remember which charger came with which laptop, and a handwritten slip has gone missing. A proper job sheet solves all of this.

What is a job sheet?

A job sheet (also called a job card) is the record created the moment a device enters your shop. It captures who the customer is, what device they brought, what is wrong with it, what you promised, and what happens at every stage until delivery. Think of it as the single source of truth for every repair.

Fields every repair job sheet should have

  • Customer details: name, phone number and, for GST billing, the GSTIN of business customers.
  • Device details: brand, model, IMEI or serial number, and the accessories received (charger, SIM tray, battery, bag).
  • Reported problem: in the customer's own words, plus your technician's initial diagnosis.
  • Condition at intake: scratches, cracks, water marks or dents, ideally with photos, so there is no dispute at delivery.
  • Estimate and advance: the quoted amount, advance paid and expected delivery date.
  • Assigned technician and status: who is working on it and where it stands (received, diagnosing, waiting for parts, repaired, delivered).
  • Parts used and warranty: which spare parts went in and the warranty you are giving on the repair.

Why paper job sheets fall short

Paper slips get lost, smudged and mismatched. You cannot search them, you cannot share them with a customer on WhatsApp, and you cannot see at a glance how many jobs are pending. As the shop grows, the gaps multiply: parts are used without being recorded, customers are not updated, and repeat repairs on the same device go unnoticed.

Creating job sheets digitally with Jet Pack

Jet Pack is a free GST billing and repair shop software built for service centers. With it you can:

  • Create a job sheet in seconds, with an automatic Case ID for every job.
  • Generate a QR code per job so technicians can pull up the record instantly.
  • Attach job images to document the device's condition.
  • Assign jobs to technicians and update status as work progresses.
  • Send job sheet and status updates to customers through WhatsApp.
  • Convert a finished job straight into a GST invoice, with no re-typing.

Because the system is cloud-based, you can check jobs from the counter, from home or from your phone.

From job intake to invoice

Keep customer details, device information, repair progress and billing connected in one workflow instead of relying on separate paper records.

Tips for a smoother intake process

  1. Always record the accessories received.
  2. Take photos at intake, not after a complaint.
  3. Give the customer a copy of the job sheet, digital or printed.
  4. Update the status the moment it changes so your team and your customers never have to ask.
